Description

Allegheny East Conference is seeking an Administrative Assistant to support assigned ministries/departments by performing a variety of clerical and administrative tasks. 

DUTIES:

  • Answers and transfers phone calls, screening when necessary.
  • Maintains digital and physical records and filing systems as assigned.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Uses computers to conduct research and generate/prepares reports, presentations and other documents.
  • Assists directors and staff in preparation of meeting agendas, performing as recording secretary.
  • Assists in scheduling and setting up online and in-person meetings.
  • Maintains calendars for assigned ministries/directors.
  • Responds to and resolves administrative inquiries and questions.
  • Coordinates and schedules travel, meetings, and appointments for assigned directors.
  • Prepares agendas and schedules for meetings.
  • Records and distributes minutes or other records for meetings.
  • Maintains office supplies and coordinates maintenance of office equipment.
  • Performs other related duties as assigned.

QUALIFICATIONS

  • Must acknowledge and accept the principles, beliefs and practices of the Seventh-day Adventist Church and be a member of the Seventh-day Adventist Church in regular standing.
  • Proven clerical/secretarial skills required.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.
  • Must exhibit extensive initiative and be adaptable and able to evaluate priorities.
  • Ability to perform office and support duties with speed and accuracy.
  • Must be able to handle multiple simultaneous assignments, work independently, and meet constant deadlines with utmost confidentiality.

EDUCATION/TRAINING

Associate's degree in a related area. Bachelor's degree preferred.

EXPERIENCE

Three (3) or more years of experience in administrative support work. Experience and education may be substituted for one another.
